HerScape Adventures Booking Terms & Conditions

1. Booking Terms:

A deposit of $250.00 is required at the time of booking to secure your reservation. The remaining balance must be paid in full by the specified deadline for each adventure. Extensions may be granted on a case by case by basis. Bookings made less than 60 days before the start date must be paid in full at the time of booking.

2. Adventure Pricing & Inclusions:

Your adventure package includes the accommodation, activities, meals, transportation, and amenities listed in your itinerary. Prices reflect the overall travel experience and are not based on individually itemized services.

3. Travel Documentation:

Participants are responsible for ensuring they have all necessary travel documentation, including valid passports, visas, permits, and identification. HerScape Adventures, LLC is not liable for delays or disruptions caused by missing or incorrect documentation.

4. Travel Insurance:

Travel insurance is strongly recommended for both domestic and international adventures. HerScape Adventures LLC is not responsible for any costs related to medical emergencies, trip interruptions, cancellations, or lost or stolen belongings. 5. Health and Safety:

Participants are responsible for assessing their own fitness and readiness for the activities described in the itinerary. It is essential to disclose any pre-existing medical conditions, allergies, or dietary restrictions during the booking process. HerScape Adventures, LLC reserves the right to deny participation to individuals deemed unfit for the adventure without refund. Safety protocols must be always followed, and participants must adhere to the instructions provided by our guides.

6. Adventure Travel Acknowledgement:

HerScape Adventures specializes in outdoor, hiking, wellness, and adventure travel experiences. By booking an adventure with us, participants acknowledge and understand that travel in natural and remote environments involves conditions that are often unpredictable and beyond the reasonable control of HerScape Adventures.

While we carefully research, plan, and coordinate each itinerary, actual travel conditions and schedules may be affected by factors including, but not limited to:

• Traffic congestion and road conditions
• National park entrance delays or closures
• Weather conditions
• Trail conditions or temporary trail closures
• Limited or unavailable cellular service and GPS navigation
• Wildlife activity
• Government or park regulations
• Vendor scheduling changes

Other unforeseen circumstances affecting travel or participant safety

Participants understand that these conditions may require itinerary adjustments, schedule modifications, route changes, delayed departures or arrivals, or substitutions of activities in order to prioritize the safety and overall experience of the group.

Our itineraries are intentionally designed to provide memorable experiences while allowing the flexibility necessary for outdoor adventure travel. Although we strive to operate according to the published itinerary, adventure travel requires adaptability, and no specific schedule or activity time can be guaranteed.

By participating in a HerScape Adventure, guests acknowledge that flexibility is an essential part of outdoor and adventure travel and agree to cooperate with reasonable itinerary adjustments made in the interest of safety, group logistics, or circumstances beyond HerScape Adventures’ reasonable control.

7. Itinerary Changes & Activity Modifications:

HerScape reserves the right to:

change activity order modify schedules substitute comparable experiences shorten activities

extend activities adjust departure times modify routes.

8. Third-Party Vendors:

HerScape coordinates services with:

• Airbnbs
• Hotels
• Restaurants
• Guides
• Transportation providers
• Outfitters
• Spas

While HerScape carefully selects vendors, their operations remain outside HerScape’s direct control.

9. Transportation & Timing:

Travel times shown on itineraries are estimates only. Actual travel may vary because of:

• traffic
• park entrance delays
• weather
• construction
• accidents
• vendor delays

HerScape will do our best to communication changes with guests as they occur.

10. Refund, Cancellation & HerScape Adventure Credit Policy:

At HerScape Adventures, we understand that unexpected situations may arise that require changes to your travel plans. Because we make financial commitments for accommodations, transportation, permits, activities, and other trip-related expenses well in advance of each adventure, our cancellation policy is designed to balance flexibility for our guests with the costs associated with operating small-group travel experiences.

Reservation Transfers

Guests who are unable to attend may request to transfer their reservation to another HerScape Adventure at least 90 days prior to the scheduled departure date, subject to availability and any applicable price differences.

With prior approval from HerScape Adventures, guests may also transfer their reservation to another qualified participant if the request is made no later than 14 days before departure. The replacement participant must complete all required booking forms, waivers, and payments before the transfer is finalized.

Guest Cancellation Schedule

90 days or more before departure

• Eligible for a full refund of all payments made.

89–60 days before departure

• Eligible for a refund equal to 50% of the total amount paid.

59–30 days before departure

• No cash refund will be issued.
• Guests will receive a 100% HerScape Adventure Credit equal to the amount paid, which may be applied toward a future HerScape Adventures trip.

Less than 30 days before departure

• No refunds or HerScape Adventure Credits will be issued.
• However, if HerScape Adventures is able to fill the canceled reservation, we may, at our sole discretion, issue an HerScape Adventure Credit for the amount recovered from the replacement booking, less any unrecoverable costs.

HerScape Adventure Credits

HerScape Adventure Credits:

• Are valid for 24 months from the date of issue.
• May be applied toward any eligible HerScape Adventures operated trip.
• Have no cash value and may not be redeemed for cash.
• May not be transferred to another individual without written approval from HerScape Adventures.
• Must be used before their expiration date.

No Shows & Early Departures

No refunds or HerScape Adventure Credits will be issued for participants who:

• Fail to arrive for their scheduled adventure (“no-show”);
• Miss any portion of the itinerary due to personal reasons;
• Voluntarily leave an adventure before its scheduled conclusion.
  
  

Third-Party Supplier Costs

Certain components of your adventure, including but not limited to lodging, transportation, guided activities, permits, park reservations, and specialty experiences, may be subject to non-refundable policies imposed by third-party suppliers. Where applicable, HerScape Adventures reserves the right to deduct any unrecoverable third-party costs from any refund or HerScape Adventure Credit.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance to protect against unexpected cancellations, illnesses, travel interruptions, weather-related delays, medical emergencies, and other unforeseen circumstances that may not be covered under this cancellation policy.

11. Changes and Cancellations by HerScape:

HSA reserves the right to alter or cancel an adventure due to unforeseen circumstances, including but not limited to:

• weather conditions
• natural disasters
• insufficient participation
• government closures
• National Park Restrictions
• wildfires
• public health emergencies
• unsafe trail conditions
• vendor cancellations
• transportation disruptions

In such cases, participants will be offered the option of rescheduling, receiving HerScape Adventure Credit, or obtaining a full refund. 

12. Individual Activities:

HerScape Adventures makes every reasonable effort to provide all advertised experiences. However, individual activities may occasionally be modified, substituted, shortened, delayed, or canceled due to circumstances beyond our reasonable control. Such changes do not automatically constitute cancellation of the overall adventure.

13. Refunds for Modified Activities:

No automatic refunds. Possible outcomes include:

• substitute activity
• travel credit
• partial reimbursement
• All determined at HerScape’s discretion.

14. Goodwill Accommodations:

HerScape may voluntarily provide:

• future travel credits
• discounts
• appreciation offers

These:

• are discretionary
• are not admissions of liability
• do not establish future obligations.

15. Guest Concerns & Dispute Resolution:

If a guest is dissatisfied…Please contact HerScape within 14 days.

We welcome the opportunity to resolve concerns before payment disputes are initiated.

16. Liability & Assumption of Risk:

HerScape Adventures, LLC takes every reasonable precaution to ensure your safety during our adventures. However, participants acknowledge and accept the inherent risks involved in outdoor activities. By booking with us, you agree to release HerScape Adventures, LLC and its employees from any liability for personal injury, loss, or damage sustained during the adventure, except in cases of gross negligence or willful misconduct. A hiking waiver must be signed before each adventure.

17. Acknowledgment and Agreement:

By booking an adventure with HerScape Adventures, LLC, each participant acknowledges that they have read, understood, and voluntarily agree to these Booking Terms & Conditions. Participants understand that these terms apply to all aspects of their adventure, including payment policies, itinerary modifications, travel risks, liability, cancellations, refunds, and dispute resolution procedures.

Participants further acknowledge that adventure travel involves inherent risks and unforeseen circumstances and agree to cooperate with reasonable decisions made by HerScape Adventures in the interest of safety, group well-being, and the successful operation of the adventure.

These Terms & Conditions constitute the agreement between HerScape Adventures, LLC and the participant and are binding upon completion of the booking process.

By selecting the acknowledgment checkbox and completing your reservation, you are providing your electronic acceptance of these Terms & Conditions.
